Distributing leads
Hand leads out to your team and take them back
For agency admins. Open Admin Center and go to Sales.
Hand out unassigned leads
The Leads tab opens on everything nobody is holding, which is the reason to come here.
- Tick the leads you want to hand out. To hand out everything the filters match, tick nothing at all.
- Click Assign.
- Leave the mode on Manual and choose the person.
- Optionally set Total leads to assign to do it in batches rather than all at once.
- Check the summary line, then click Assign.
The Owner filter also has a preset for Assigned to inactive, which is where leads sitting on a deactivated agent turn up. Those are worth clearing out whenever someone leaves.
Changing a filter clears your ticks, because the leads on screen are no longer the ones you ticked.
Spread leads across your best people
Smart mode picks the people for you from their own production.
- Tick the leads, or tick nothing to use everything the filters match.
- Click Assign and switch to Smart.
- Set Rank by to the metric that decides who earns leads: ALP, sales, presentations, appointments set, appointments sat, contacts made, referrals, close ratio, or ALP per presentation.
- Set Over to the window to judge them on, from 30 days to 12 months.
- Set Top % to how much of the team qualifies.
- Choose Split evenly to give the winners equal shares, or Weight by score to give the strongest the most.
- Read the table. It names who qualified, their score, and exactly how many leads each one gets.
- Click Assign.
Counting lead type and Counting source change what the ranking counts, not which leads go out. Set source to Referral and you are ranking people on their referral premium while still handing out whatever you ticked.
See who is holding what
The Assignments tab is one row per person:
| Column | What it tells you |
|---|---|
| Holding | How many open leads they have |
| Contacts | How many attempts have been made on that inventory. A zero against a large holding is someone sitting on leads |
| Automating | How many are being worked by an automation |
| Pullable | How many could be taken back right now |
| Oldest | How long the oldest one has been sitting there |
Click a person to see the leads themselves, where you can tick individual ones to move or pull. Click All people to go back.
Take leads back
- On the Assignments tab, click the pull icon on someone's row, or open them and click Unassign.
- To pull specific leads, tick them first and leave the mode on Manual.
- To pull by rule, use Smart and set Idle for to how long a lead must have gone untouched.
- Optionally cap it with Total leads to unassign.
- Click Unassign.
The count on the button is the number that will actually move, so a rule that matches 400 and a cap of 50 moves 50, oldest first.
Some leads cannot be pulled from anyone: anything being worked by an automation, anything with a sit booked or a callback promised, and anything resolved. They are still listed on the person's holding so their total makes sense, but they cannot be ticked.
Hand leads from one person to another
Open the person on the Assignments tab, tick the leads, and click Assign. The dialog works the same way, and it will not offer to hand someone their own leads back.
